  • About The Role

  • Day to day, you’ll be successful in this role by:

    We have a fantastic opportunity for a Legal Secretary to provide proactive and professional support to Fee Earners within our restructuring and insolvency team and occasional support to other departments. Subject to candidate and team requirements, there will be opportunities to work from home as well as from a Clarke Willmott office.  

    You will support a busy team, keeping them organised and enabling them to work as efficiently as possible. There is a Senior Legal Secretary within the team who will support you and to whom you will (in part) report.

    Your workload will be varied. Your regular duties will or may include:

    • Manage urgent / confidential audio typing, documents/letters/emails and attendance notes (utilising a third party typing provider where appropriate and/or acting as a liaison between it/Fee Earners), collating correspondence and enclosures
    • Using Flowmatrix (postal system) to ensure incoming post is properly filed/brought to Fee Earners’ attention
    • Opening, closing and archiving client files, ensuring compliance with relevant regulatory requirements and/or firm policies
    • Amending, formatting and proofreading documents
    • Creating and editing documents in Word, PowerPoint and various other applications
    • Photocopying and scanning, ensuring high levels of attention to detail
    • Preparing bundles for court (using Bundledocs, including dealing with pagination and adding/amending hyperlinks), assisting with and using the Court CE-Filing system
    • Ensuring documents and records are stored appropriately, including ensuring filing/e-filing is up to date and accessible
    • At times you may be the first point of contact for clients and have regular communication with them (taking messages, arranging meetings etc.), so should demonstrate professionalism, diplomacy and sensitivity in all your communications
    • Assist Fee Earners with organising events, meetings and other business development related activities, including preparing expense claims, speaking to third parties/organising bookings/arranging meetings, collating bid/tender documents, organising and booking travel arrangements and undertaking client research
    • Obtaining information and documentation from Companies House, HM Land Registry and other sources
    • General support of colleagues and Fee Earners, both within and outside of your usual team

    You may also be involved in other administrative/secretarial activities both for your Fee Earners and others as required.

    This is a busy role, with deadlines to manage and competing priorities, so you will be required to work quickly, accurately and efficiently and remain calm under pressure. You will be expected to think ahead to meet the needs of your Fee Earners and clients. 

    It is an integral part of this role that you comply with information security and all firm policies and procedures.

    This role will suit you if you are able to effectively prioritise your own workload, work closely to deadlines whilst managing expectations, and can work with minimum supervision and under pressure. You will need to demonstrate from experience that you are organised and proactive, personable and helpful, with a flexible ‘can-do’ attitude, and that you have the skills to work closely with various stakeholders and have direct contact with clients. 

    We expect you to be someone who takes pride in your work and in providing a first class personal support service to your Fee Earners, anticipating their needs in advance wherever possible, and paying meticulous attention to detail in all of your work. 

    You will have excellent spelling and grammar, be proficient with the usual Microsoft packages, including Excel and Outlook, and comfortable with learning how to operate and/or work with other software packages and/or websites (e.g. the Court CE filing system, Bundledocs, HM Land Registry Portal, Flow Matrix and Companies House). Training will be provided and further training can be offered on demand, so you do not have to already be proficient with these system and websites. 

    Finally, we are looking for someone who can demonstrate initiative and problem-solving skills and a willingness to learn and develop, which will help you thrive in this role.
