About the role
We are looking for a secretary to join the Banking team in the Corporate division of our Cardiff office.
This is an exciting opportunity to join a national law firm with a growing presence in the Cardiff market. As a result of recent growth in 2024, we moved into a brand new office in the heart of the city centre.
Day to day, you’ll be successful in this role by:
The role involves providing secretarial support to the fee-earners within the banking team as required and to provide cover for the office manager when they are not in the office.
Your regular duties will include: sorting, screening, scanning and prioritising incoming and outgoing post, opening, closing and archiving client files, document production (including some audio typing by Digital Dictation) copy typing, emails, letters, memos, assisting with compiling articles, setting up file reviews, undertaking anti-money laundering checks and arranging payments in and out and transfers between accounts. You will ensure documents and records are stored appropriately, including ensuring filing and e-filing is up to date and accessible. Attention to detail is key and you must be able to prioritise and communicate effectively.
You will also be required to assist your fee-earners with the billing process, agreeing in advance dates for billing, requesting pre-bills and drafting standard cover letters for the fee-earners to authorise and sign-off.
You may sometimes be the first point of contact for new and existing clients and have regular communication with them (taking messages, arranging meetings etc.), so should demonstrate professionalism in all your communications.
You will also carry out other administrative/secretarial activities as required, including helping your colleagues during busy periods and to cover colleagues’ absences from work.
It is an integral part of this role that you comply with data security and all firm policies and procedures.

Previous experience of working within a legal environment would be beneficial, however if you have at least 12 months’ experience of working within a busy PA or administrative role, are a quick learner, very IT literate and have a genuine interest in working within the legal sector, we would be keen to hear from you.
This role will be well suited to you if you like to prioritise your own workload, work closely to deadlines, and can
work with minimum supervision and under pressure. You will need to demonstrate from experience that you are
exceptionally organised and pro-active, that you have a flexible ‘can-do’ attitude, and that you have the skills to
work closely with various stakeholders and have direct contact with clients as well as being knowledgeable with IT packages such as Excel, Word and Microsoft.
